When you first arrive in your workspace you should complete some housekeeping tasks. These tasks primarily consist of workspace findability improvements and classroom management best practices.

Most workspace settings can be accessed from:

Settings Tab → Workspace Access

By default, workspaces are created to be accessed by request. This means the workspaces will show up in the RIT Slack Workspace Directory and anyone at RIT can request to join. To prevent non-class members from requesting to join your workspace, it is recommended that you change your workspace access to Hidden. This will also make it so the RIT Slack Workspace Directory only lists workspaces that are meant to be joined by anytone of the RIT community. Students will only be able to find your workspace if you invite them, however, so make sure to Add Students after configuring your settings.

Settings Tab → Set Workspace Icon

By default, the workspace icon is a two-letter abbreviation of the workspace name. Since many workspaces will start with the same letters, it is recommended to create an icon that better identifies the workspace. This will assist people when switching between workspaces in the Slack app. For a course workspace, it is recommended to include the department, course number, section number, and semester. An example icon is below.

For instructions on uploading your custom icon, review upload a Slack workspace icon.

Settings Tab → Change Workspace Info

...

By default, the workspace name is the same as the workspace URL, and both are set from the name you submitted on the request form. You can adjust the Workspace Name to make it easier to read. For example, for the workspace "rit-pprt-601-01-2201", you can change the workspace name to "RIT PPRT-601-01 Fall 2020" or "RIT Materials and Processes-01 Fall 2020".

...

Do not change the Workspace URL unless you have made a true mistake in the naming request. Changing the Workspace URL will cause existing links or bookmarks to the workspace to no longer work properly.

Permissions Tab → Channel Management

It is recommended you change the following settings to ensure students do not accidentally or maliciously disrupt the workspace:

  • People who can archive channels: Workspace Admins and Owners Only

  • People who can remove members from private channels: Workspace Admins and Owners Only

  • People who can manage posting permissions in channels: Workspace Admins and Owners Only

Apps & Custom Integrations

Apps are one of the most powerful features of Slack, and can help with efficiencies and student engagement in the workspace.

To add apps to a workspace (such as Zoom and Google Drive), follow the instructions at Add an app to your workspace.

After installing an app, certain apps will need additional permissions to connect to individual third-party accounts. Each member of the workspace will need to link these permissions on their own account within the workspace.

Example: The Workspace Owner adds the Google Drive app to make the integration available for use. Each member (including owners and admins) needs to approve Slack to access their RIT Google account so the member can share and view files from their Google Drive directly in Slack. Members who do not do this approval step will not be able to share and view files from their Google Drive directly in Slack.

Info
Currently any member can install apps or remove apps. We recommend also turning on Require App Approval in your App Management Settings (review Manage app installation settings for your workspace for details). If a student wants to add an app to the workspace, this setting will allow them to request it from you instead of installing it outright.

In the enterprise version of Slack, apps that you’ve enabled in another workspace may show up in your Apps section of the workspace navigation pane, but may not be enabled within the workspace you are currently in. You can confirm which apps are activated in a workspace by clicking Apps from the workspace sidebar. There will be sections for apps already installed and recommended apps.
